We’re seeking a highly organised, techsavvy and operationally minded Vintage Planning Coordinator to join our Marlborough team through the summer peak and into the 2027 harvest.

About The Role

This is a dynamic, officebased role that sits at the centre of vineyard, logistics and winery operations. From October through April, you’ll support Vineyard Operations by scheduling and tracking work orders, managing data, and keeping our systems aligned.  

As harvest ramps up, you’ll step into a key operational role, becoming the Day Shift Weighbridge Supervisor during vintage. 

 

You’ll be the operational heartbeat of harvest: aligning vineyard ripeness, fruit transport and efficiently and without bottlenecks. 

What You'll be Doing

Seasonal Planning (Oct–Feb) 

  • Scheduling and tracking vineyard work orders through to completion 

  • Managing Grapelink spray diary entries and compliance data 

  • Data entry, record management and workflow tracking 

  • Collating information from viticultural operations 

  • Supporting winemakers with intake planning and daily workflow preparation

Vintage Operations (Feb–Apr) 

As harvest intensifies, your role evolves into a true Vintage Operations Planner/Coordinator, managing the complex scheduling, logistics and communication required during the busiest time of year. 

You will: 

  • Coordinate maturity testing and align daily pick dates with viticulturists and growers 
  • Manage truck arrivals, weighing, and grape receival schedules to prevent bottlenecks 
  • Record intake statistics, block tonnages and work orders using wine tracking software (e.g., Vintrace) 
  • Supervise the weighbridge during day shift 
  • Maintain clear communication between vineyard crews, winery teams and logistics providers 

 

This role is fulltime fixed term, with hours increasing during peak vintage. 

Your Knowledge and Skills

You’re a natural organiser with strong technical capability and a calm, professional presence. You enjoy juggling multiple priorities and keeping complex operations running smoothly. 

 

We’re looking for someone with: 

  • A professional background in administration, operations or winery logistics 
  • High computer literacy  (Office 365, strong Excel skills) 
  • Excellent communication skills and strong attention to detail and accuracy ...A solid level of English, literacy and numeracy is required to ensure safe work practices on site. 
  • Ability to follow procedures and work well under pressure 
  • Experience in Vinyard operations and logistics (ideal) 
  • Ability to prioritise tasks with remaining safety focused  
  • A cando attitude, enthusiasm and continuous improvement mindset 
  • Full legal right to work in New Zealand
